Detailed Document Management ROI Assessment

An interactive assessment covering current labor activity, direct costs, potential improvements, estimated investment, realization, and first-year ROI. No contact information required.

A guided look at the operational costs of your current document handling and the savings a document management system might recover. Edit any value to match your organization. No contact information is required, and nothing you enter leaves your browser.

How to read these results
This assessment estimates the potential productivity value of employee time and direct cash-expense reductions separately. Recovered labor value is time that could be redirected to other work; it becomes actual cash savings only when it reduces labor cost. Direct cash savings (off-site storage, printing) are counted only for the share you indicate could actually be eliminated or reduced. The potential economic value of reclaimed filing space is shown separately and is not automatically classified as cash savings. No hypothetical IMS licensing, setup, equipment, or support pricing is included, so no investment-based ROI or payback is shown here. A fuller investment and payback assessment is best handled in a consultation.

For the concepts behind these numbers, read Understanding Document Management ROI first.

A. Document activity

Time your office spends physically handling documents

Walking to the cabinet, handling the document, and returning. Excludes time spent reading or processing.

$

Wages plus estimated employer payroll taxes, benefits, insurance, paid leave, and related costs. Editable assumption, not a national average.

Filing a new document counts as one round trip. Retrieving an existing document and subsequently returning it to filing counts as two round trips. The model assumes retrieved documents are returned to their designated filing location. Time actually reading or processing a document is intentionally excluded.

B. Physical filing

Filing cabinets and the floor space they occupy

$

Default: $30 per square foot annually ($2.50 monthly). Enter your actual annual cost if known. If your rate is quoted monthly, multiply it by 12. Actual costs vary by location and facility.

Estimated filing space

6 cabinets × 7 sq. ft. per cabinet (incl. footprint, drawer access, and working clearance). Planning estimate; actual space varies by cabinet and layout. Avoid double-counting shared aisle space.

42 sq. ft.

C. Off-site storage (optional)

Do you use off-site document storage?

D. Printing & copying (optional)

Do you want to explore printing savings?

Nothing you enter is sent anywhere. This runs entirely in your browser.

Estimated benefits

Recovered employee time is shown as potential productivity value, kept separate from the potential economic value of reclaimed filing space and the direct cash-expense reductions below.

Your estimated results

Annual document-handling hours

Employees × (filing + retrieval + refiling) round trips × workdays ÷ 60

3,542 hrs

Potential productivity value of recovered time

Recovered hours × loaded hourly cost. Potential value, not automatic cash savings.

$88,541.67

Potential economic value of reclaimed filing space

Annual value of reclaimed filing space

Cabinets × 7 sq. ft. × annual occupancy cost. Illustrative economic value of space that could be reclaimed, repurposed, or eliminated. Not guaranteed rent savings.

$1,260

Direct cash-expense reductions

Total estimated direct cash savings

Sum of the cash-expense reductions above.

$0

Interpreting these results
These results depend entirely on the values and percentages you entered. They are illustrative estimates, not a guarantee of savings or ROI. Potential productivity value becomes actual cash savings only when recovered time reduces labor cost. The reclaimed-space economic value is not automatic rent savings. Direct cash savings apply only to the expense share you indicated could actually be eliminated or reduced. No investment costs are included here, so no payback or ROI percentage is shown.
