ImagingMadeSimple.com
Website Operator: Reliance Outsourcing and Consulting, LLC
Effective Date: November 5, 2026
1. Introduction and Who Operates This Website
This Privacy Policy describes how information is collected, used, shared, and protected when you visit ImagingMadeSimple.com or communicate with us through the website and related services.
Reliance Outsourcing and Consulting, LLC ("ROC," "we," "us," or "our") operates ImagingMadeSimple.com and coordinates website inquiries, marketing, sales, customer relationships, and related business services. Imaging Made Simple ("IMS") was originally created by Imminent Technologies, a Texas-based business that retains ownership and control of the IMS software. ROC and Imminent Technologies may cooperate in responding to inquiries and providing authorized products and services.
This Policy addresses website and related communications practices. Separate customer, software licensing, and service agreements may govern additional information processing.
2. Information We Collect
We may collect information you provide, including your name, business or organization, email address, telephone number, inquiry type, messages, product interests, software requirements, consultation or demonstration requests, and information submitted through a privacy request.
We may also receive technical and usage information, such as IP address, browser and device characteristics, pages visited, referral sources, session identifiers, cookie information, and interactions with educational resources or website features. The information available depends on the technologies actually enabled and your browser settings.
Please do not send sensitive identification documents, protected health information, confidential client records, or other highly sensitive material through general website inquiry forms.
3. How We Use Information
We may use information to respond to requests; arrange demonstrations or consultations; evaluate IMS and related business needs; provide product and service information; maintain business records; operate, secure, and improve the website; understand use of educational content; and administer customer relationship management (CRM) processes.
Where permitted and appropriately disclosed, information may also support follow-up communications, marketing, referral coordination, website analytics, advertising measurement, and personalized or returning-visitor experiences. We do not treat a general inquiry as blanket consent to every marketing channel.
4. Website Analytics and Returning Visitors
Website and service providers may use session identifiers, cookies, browser storage, referral information, and similar technologies to understand visits and interactions. Where technically available and legally permitted, repeat visits or page activity may be associated with a known contact after that visitor has provided identifying information.
Such activity may help us understand interest in specific IMS topics, improve website content, or prioritize appropriate follow-up. The actual tools and configurations in use should be reviewed before relying on this description as a complete inventory of tracking practices.
5. Marketing, Advertising, and Customer Communications
We may communicate about requested information, demonstrations, consultations, software products, and related services by email, telephone, or other channels. We may also use advertising measurement, remarketing, or similar technologies if enabled.
Marketing emails, SMS/text messages, automated calls, and other regulated communications will be subject to applicable notice, consent, opt-out, and other legal requirements. Submitting an inquiry does not automatically authorize promotional text messages or automated marketing calls. You may use available unsubscribe or opt-out mechanisms where applicable.
6. AI Assistants, Website Chat, Voice Communications, and Call Recording
We may introduce AI-assisted website chat, voice assistance, automated telephone interactions, call recording, transcription, summaries, or CRM-linked communications. These features may not all be active at the same time.
When such features are used, submitted or spoken information may be processed by ROC, Imminent Technologies where appropriate, and relevant technology providers to respond, document interactions, support customer service, and improve operations. Recordings or transcripts may be retained in authorized business systems where enabled.
We will provide notices and obtain consent when required by applicable law, including laws governing call recording and automated communications. This Policy alone is not a substitute for legally required notices or consent. Please avoid sharing highly sensitive information through these channels unless appropriate arrangements are in place.
7. CRM and Technology Service Providers
We may use HighLevel, LeadConnector, website hosting, forms, communications, analytics, security, and other technology providers to operate the website and manage inquiries. Providers may process information on our behalf or in connection with services they supply, subject to applicable agreements and legal requirements.
Specific vendors and configurations may change as the website and business operations evolve.
8. Sales Representatives, Resellers, and Referrals
Where relevant to a requested product or service, inquiries may be reviewed or handled by ROC, Imminent Technologies, authorized representatives, consultants, resellers, or referral partners. Information may be shared with an appropriate party to respond to your request or facilitate a business relationship, subject to applicable law and any required notice or permission.
A possible future reseller or referral program does not mean that every inquiry is currently shared with independent partners.
9. Cookies, Browser Storage, and Similar Technologies
The website and connected services may use cookies, session identifiers, and browser storage for functionality, security, session continuity, analytics, and visitor experience. Browser storage may also remember Learning Zone materials previously viewed.
If advertising pixels, cross-site measurement, or other optional tracking technologies are enabled, additional disclosures or choices may be necessary. You can manage some technologies through browser controls; applicable privacy rights and opt-out mechanisms will be provided as required by law.
10. How Information May Be Shared
Information may be disclosed to ROC personnel, Imminent Technologies when appropriate, service providers, authorized sales or support partners, and other parties needed to respond to inquiries or operate the business. We may also disclose information to comply with law, protect rights and security, or respond to lawful process.
We do not currently operate a business model of selling contact lists to data brokers. However, certain advertising or targeted-advertising arrangements can be legally classified as a "sale" or "sharing" of personal information under some state privacy laws, even without payment. Applicable notices and opt-out rights must reflect the technologies actually used.
11. Data Retention
We retain information for periods reasonably necessary to handle inquiries, maintain customer and business records, comply with applicable obligations, address disputes, and support legitimate operational needs. Retention periods vary with the type of information and its purpose.
If chat logs, call recordings, transcripts, or automated summaries are collected, their retention will depend on applicable settings, operational requirements, and law. We do not promise a universal fixed deletion period that has not been established.
12. Information Security
We seek to apply reasonable administrative, technical, and organizational measures appropriate to the information and services involved. These may include access restrictions, vendor controls, and measures designed to reduce unauthorized access or misuse.
No internet transmission, website, or storage system can be guaranteed completely secure. Do not submit highly sensitive information through a general inquiry form.
13. Privacy Rights and Data Requests
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or information about certain personal information, and to exercise relevant marketing or targeted-advertising choices.
To make a request, use the website contact form and select Privacy / Data Request. Provide your name, a way to contact you, and a description of the request. Business information and a telephone number are not required solely to submit a privacy request, and marketing consent is not a condition of submitting one.
We may take reasonable steps to verify identity and the scope of a request before acting on it. We will evaluate and respond as required by applicable law. Availability of a form option does not by itself establish that every technical delivery or routing process has been verified.
14. Children's Privacy
The website is directed toward business and general educational audiences and is not intended for children under 13. We do not knowingly seek to collect personal information from children under 13 through the website. If we learn that such information was collected in circumstances requiring deletion or other action, we will take appropriate steps consistent with applicable law.
15. External Websites and Services
Links to third-party websites or services are provided for information or convenience. We do not control those third parties' privacy practices. Review their policies before supplying information to them.
16. Changes to This Privacy Policy
We may update this Policy when our website, business relationships, vendors, tracking practices, advertising activities, CRM processes, AI communications, recording practices, or legal obligations change. The effective date will be revised when updates are published.
We intend to review the Policy periodically and when meaningful operational changes occur. Additional notices, choices, or consent will be provided when legally required. Posting an updated Policy does not replace any required affirmative consent.
